Privacy Policy

SitelineCRM is a Telegram bot and dashboard that turns forwarded sales conversations into a structured coworking pipeline. This page covers what the bot collects when you use it, and how that data is handled. SitelineCRM is currently a working prototype built for a specific sales team — this policy describes the prototype's actual data handling, not a finished commercial product's compliance program.

What we collect

• Content you send the bot: forwarded chat text, voice notes, and screenshots you choose to send, plus the text of any commands or notes you type directly.
• Account info: your Telegram ID, first name, and (if you sign up via the web form) the email and company name you provide.
• Structured deal data: the contact names, company names, seat counts, cities, budgets, and pipeline stages the bot extracts from what you send it.

We do not read your other Telegram chats, contacts, or messages you haven't forwarded to the bot.

How it's used

• Voice notes and forwarded text/images are sent to OpenAI's API to transcribe and extract structured deal information. This is the only way the extraction feature works — nothing is analyzed without your action first (forwarding a message, sending a voice note).
• Structured data is stored in our Postgres database (hosted on Neon) to power your pipeline view, the manager dashboard, and stale-deal reminders.
• We do not sell your data, and we do not use it for anything beyond running the CRM you're using.

Who can see your data

Your leads are visible to you and to your team's managers (role-based access — reps see their own leads, managers see the whole team's pipeline). Dashboard access is protected by a signed per-user token.

Data retention

Data is kept for as long as your account is active. Since this is a prototype, there is currently no self-service deletion flow — email the contact below to request deletion of your data.

Third parties

• OpenAI — processes forwarded text, voice audio, and images to extract structured deal data. Subject to OpenAI's privacy policy.
• Telegram — the messaging platform the bot runs on. Subject to Telegram's privacy policy.
• Neon — hosts the Postgres database storing your pipeline data.
